2. The Data We Collect about You
Personal data, or personal information, means any information about an individual from which that person can be identified. It does not include data where the identity has been removed (anonymous data).
We may collect, use, store, and transfer different kinds of personal data about you which we have grouped together as follows:
Identity Data includes first name, maiden name, last name, username or similar identifier, and title. We keep these only in a private configuration file or our local code base; they are not published.
Contact Data includes e-mail address and telephone numbers. We collect these by hand: the e-mail addresses of alert and digest recipients, and telephone numbers for some digest recipients, are added manually to a private configuration file.
Technical Data includes internet protocol (IP) address, browser type and version, time zone setting and location, operating system and platform, and other technology on the devices you use to access this website.
Profile Data includes your interests, preferences, feedback, and survey responses.
Usage Data includes information about how you use our website and services.
Communications Data includes your communication preferences. If you unsubscribe from the alerts or the digest, we keep your contact information on a private “do not send” list so that you are not sent them again.

Third parties or publicly available sources. We also receive aggregate information, which does not identify you, from the following source:
Aggregate search statistics from Google Search Console (for example, search terms, clicks, and countries). These do not identify individual visitors.

Change of purpose
We will only use your personal data for the purposes for which we collected it, unless we reasonably consider that we need to use it for another reason and that reason is compatible with the original purpose. If you wish to get an explanation as to how the processing for the new purpose is compatible with the original purpose, please contact us.
If we need to use your personal data for an unrelated purpose, we will notify you and we will explain the legal basis that allows us to do so.
Please note that we may process your personal data without your knowledge or consent, in compliance with the above rules, where this is required or permitted by law.
5. Disclosures of Your Personal Data
We do not sell your personal data, and we do not share it with anyone for marketing. We use a small number of service providers to run this website and to send and receive e-mail. They handle personal data only to provide those services to us:
Cloudflare delivers and protects this website, so it processes visitors’ IP addresses and connection data. It also forwards e-mail sent to our arborhillsmonitor.org addresses.
GitHub hosts this website and its code. It stores the alert and digest recipient list and the “do not send” list as encrypted settings, and runs the automated jobs that send alerts and the digest.
Resend and Google (Gmail) send and receive our e-mail, so they handle e-mail addresses and message contents in transit. Gmail also stores the messages we send and receive.
Google Search Console gives us aggregate search statistics only (see Section 3).
Anthropic: we use Anthropic’s Claude AI tools to help read and draft e-mail and to maintain this website’s code, so those tools may see the contents of e-mail you send us.
We may also disclose personal data if the law requires it, for example in response to a subpoena or court order, or where needed to protect our legal rights.
6. Data Security
We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used, or accessed in an unauthorised way, altered, or disclosed. In addition, we limit access to your personal data to those employees, agents, contractors, and other third parties who have a business need to know. They will only process your personal data on our instructions, and they are subject to a duty of confidentiality.
We have put in place procedures to address any suspected personal data breach and will notify you and any applicable regulator of a breach when we are legally required to do so.
7. Data Retention
How long will you use my personal data for?
We will only retain your personal data for as long as reasonably necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, regulatory, tax, accounting, or reporting requirements. We may retain your personal data for a longer period in the event of a complaint or if we reasonably believe there is a prospect of litigation with respect to our relationship with you.
To determine the appropriate retention period for personal data, we consider several factors. These include the amount, nature, and sensitivity of the personal data, the potential risk of harm from unauthorised use or disclosure of your personal data, the purposes for which we process your personal data, and whether we can achieve those purposes through other means and the applicable legal, regulatory, tax, accounting, or other requirements.
Details of retention periods for different aspects of your personal data are available in our retention policy that you can request from us by contacting us.
In some circumstances, you can ask us to delete your data. Please see below for further information.
In some circumstances, we will anonymise your personal data (so that it can no longer be associated with you) for research or statistical purposes, in which case we may use this information indefinitely without further notice to you.
8. Your Legal Rights
Under certain circumstances, you have rights under data protection laws in relation to your personal data including:
Request access to your personal data.
Request correction of your personal data.
Request erasure of your personal data.
Object to processing of your personal data.
Request restriction of processing your personal data.
Request transfer of your personal data.
Right to withdraw consent.
If you wish to exercise any of the rights set out above, please contact us.
No fee usually required
You will not have to pay a fee to access your personal data (or to exercise any of the other rights). We may charge a reasonable fee, however, if your request is clearly unfounded, repetitive, or excessive. Alternatively, we are authorized to refuse to comply with your request in these circumstances.
What we may need from you
We may need to request specific information from you to help us confirm your identity and ensure your right to access your personal data (or to exercise any of your other rights). This is a security measure to ensure that personal data are not disclosed to any person who has no right to receive it. We may also contact you to ask you for further information in relation to your request to speed up our response.
Time limit to respond
We try to respond to all legitimate requests within one month. Occasionally, it could take us longer than a month if your request is particularly complex or if you have made a number of requests. In this case, we will notify you and keep you updated.
